Job Summary
The University of Utah Campus Store is the leading retail arm of
the University, providing exceptional customer experience through
innovative solutions. We are seeking a skilled Business Systems
Administrator to join our team as the functional expert in the
Campus Store's shadow system, Oracle NetSuite, ensuring seamless
ERP operations and enhancing the user experience for both internal
and external customers. This position will also oversee other
third-party applications that operate in tandem with Oracle
NetSuite, such as Watchman Payment Systems, Atrium Campus Card,
VitalSource/Verba Academic Materials Solutions, TradeCentric,
HyperSpace, etc.
The Business Systems Administrator is the functional expert and
first point of contact for the University of Utah Campus Store's
business applications, including our NetSuite ERP system. The
primary objective of this role is to optimize the business
applications, support and train end-users, and provide technology
tools to the organization to enhance efficiencies. This position is
responsible for ensuring that both technical and system solutions
continually meet the ever-changing business objectives through the
daily administration and continued improvement of the business
applications used by the University of Utah Campus Store. Thorough
documentation of business processes is required, including system
configuration, procedures, maintenance tasks, and troubleshooting
steps, to ensure smooth operation, facilitate knowledge transfer,
and enable efficient problem-solving when needed. This includes
applications covering inventory management systems, e-commerce,
point of sale, customer relationship management systems,
accounting, and financial reporting.

Responsibilities
User Support and Training:
Assist users with NetSuite-related queries and issues, offering
expert advice on best practices and efficient use of NetSuite.
Provide training and support to end-users, ensuring they are
proficient in using NetSuite.
Develop and maintain system documentation, including user guides
and training materials.
Conduct regular audits to ensure system access, roles, and
permissions meet store and university compliance.
System Administration and Optimization:
Ensure seamless ERP operations to meet business objectives through
planning, comprehensive testing, and continuous monitoring.
Monitor system performance and troubleshoot issues as they
arise.
Manage system upgrades, patches, and enhancements.
Oversee third-party applications integrated with Oracle NetSuite
and University systems.
Manage consultant engagement as it relates to NS applications and
3rd party applications
Process Analysis and Improvement:
Evaluate current NetSuite processes and identify areas for
improvement.
Implement changes to enhance efficiency and user experience.
Stay up-to-date with NetSuite updates and industry best
practices.
Ensure technical and system solutions meet business objectives
through daily administration and continuous improvement of business
applications, including inventory management, e-commerce, point of
sale, CRM, accounting, and financial reporting.
Collaboration and Integration:
Collaborate with cross-functional teams to identify and resolve
system issues.
Work closely with Auxiliary and University IT, along with other
campus departments, to integrate NetSuite with other systems and
applications.
Serve as a liaison to vendors, managing vendor support
requests.
Continuous Improvement and Documentation: Develop, lead, and test
critical initiatives, updates, and configuration changes to
optimize applications.
Deploy standard operating procedures, best practices, and training
materials to ensure organizational effectiveness.
Maintain thorough documentation, including system configuration,
procedures, maintenance tasks, and troubleshooting steps.
Staff Management:
Manage a team of up to 4 part-time staff or interns who oversee
various development and POS/event support.

Minimum Qualifications
Requires a bachelor's degree in a related area or equivalency (one
year of education can be substituted for two years of related work
experience) with at least 2 years of experience in the field or in
a related area.

Preferences
NetSuite Expertise: In-depth knowledge of NetSuite ERP, including
configuration, customization, and administration.
Technical Proficiency: Strong understanding of business
applications such as inventory management systems, ecommerce
platforms, point of sale systems, CRM, and financial reporting
tools.
Analytical Skills: Ability to analyze complex business processes
and identify opportunities for improvement.
Problem-Solving: Strong problem-solving skills to troubleshoot
system issues and find root causes.
Project Management: Experience in managing projects, including
developing, leading, and testing critical initiatives, updates, and
configuration changes.
Communication: Excellent verbal and written communication skills to
provide guidance, answer questions, and create training
materials.
Collaboration: Ability to work closely with cross-functional teams,
critical partners, and vendors to ensure business applications are
fully utilized and optimized.
Attention to Detail: High level of accuracy and attention to detail
in managing system documentation, conducting audits, and ensuring
data integrity.
Adaptability: Ability to stay up-to-date with NetSuite updates and
industry best practices, and adapt to ever-changing business
objectives.
Training and Support: Experience in providing training and support
to end-users, ensuring they are proficient in using business
applications.
