What success looks like in this role: Job Description: The
Administrative Operations (AO) Manager plans, direct and
coordinates administrative services across Unisys. The AO manager
will manage, coordinate and perform a diverse set of support tasks
to insure the organization operates efficiently. The AO manager is
accountable for providing supervision and leadership to a team of
approximately 40 administrative support staff. This will include a
variety of administrative and operational related projects and
financial, business and situational analysis to recommend
alternatives in order to contribute to the achievement of business
objectives. The Administrative Operations Manager will establish
administrative and operational processes and control standards,
ensure they are followed, and that performance measurements are
met. The AO manager strives to identify and implement improvements
to administrative and operational processes and service delivery
for the purpose of contributing to the effective and efficient
operation of the business group.Responsibilities:
- Manages and supervises the day-to-day functions of an
administrative team. Provides coaching and guidance to all direct
reports with regular performance feedback in line with business
unit policy and practice. Includes participating in the preparation
of performance-based documentation and providing input in annual
performance ratings.
- Ensures the scheduling of sufficient and appropriate staff to
cover the current and future workload and to ensure that each
employee is effectively cross-trained in critical but relevant
administrative/operational business functions across the unit.
Ensures that business workflows are not interrupted when back up is
required when absences occur or when/if staff assignments must be
reallocated.
- Establishes the team's overall objectives, through the creation
of best practices, desk notes , policies and guidebooks.
- Supports and monitors employee development with a view to close
performance gaps, achieve goals and develop both individual and
team capabilities.
- Analyze data and prepare reports on the outcomes and efficiency
of administrative and supportive services.
- Plan, lead, and direct activities related to event management,
complex travel itineraries, budgets and business analysis.
- Collaborate with other managers and stakeholders to achieve
organizational goals and objectives.
- Chairs and sets agendas for regular team meetings, developing
and monitoring both individual and collective objectives as they
relate to the immediate support group and the overall functioning
of the business.
- Fosters a collaborative and inclusive culture maintaining high
engagement, and strong focus on development.You will be successful
in this role if you have:Knowledge
- Undergraduate Degree in a related field. Other professional
related training to keep skills current with office productivity
software and to develop leadership capability.
- Requires a minimum 5 years of experience in an administrative
management role, working in a complex fast-paced environment,
dealing with complex issues and managing conflicting priorities
within scope of a similar role.
- HR experience in recruiting, performance management, and
training/coaching.
- Solid project management skills required to coordinate and lead
a variety of initiatives.
- Seasoned broad business knowledge and specific understanding of
the organizational unit, its functions and products and customer
groups.
- Understanding of the processes, policies and procedures
required for supporting the business.
- Good working knowledge of human resources policy.Skills
- Ability to work with limited direction to supervise and
allocate work, and to make decisions within scope of
accountability.
- Ability to create a cohesive team, and to coach and lead a team
of staff to achieve expected outcomes, while providing timely
performance based feedback.
- Ability to organize business information and develop it into
cohesive, professional reports and presentations, with little
guidance, and the ability to recognize and respond to business
related issues within the scope of the material.
- Extremely detail oriented and very well organized, and able to
manage time and multi-task to accomplish a wide variety of tasks,
and conflicting priorities.
- Ability to deal with clients in a professional and courteous
manner, and to develop and leverage professional working
relationships.
- Ability to employ and leverage knowledge of the organization
and the supported business unit's uniqueness to carry out
accountabilities.
- Solid project management skills to coordinate and lead a
variety of initiatives.
- Experience with administrative tasks for purposes of
teaching/coaching staff.
- Expert level MS Outlook skills * Advanced PC skills (MS Office:
Excel, Word, PowerPoint, Visio; Lotus; web browsers).
- Exceptional communication skills, both written and verbal.
- Ability to manage confidential materials in an appropriate
manner.Working conditions
- Works in a comfortable office environment.
- Requires sensitivity in dealing with complex and confidential
matters.
- Supports a highly demanding business group, with high level of
pressure to produce outputs as a result of multiple demands and
conflicting priorities.
- Has limited exposure to risk or ill health however, high levels
of stress may be experienced due to managing continuous multiple
and conflicting priorities. May experience periods of high-level
